If you maintain manager fields by hand across project sheets, Smartsheet’s new Workday integration is worth a look. [Released on October 27, 2026](https://www.smartsheet.com/content-center/sync-workday-data-smartsheet), it lets you connect Workday from the Integrations panel and sync data into Smartsheet on a schedule.

In an earlier post, I described a simple [two-column Manager-Subordinate reference table](https://www.adrienautomation.com/blog/smartsheet-reference-tables-build-once-and-use-them-forever?hsLang=en). An INDEX/MATCH formula lets any sheet in your workspace pull the right manager for an employee. Change the manager once in the reference table and every sheet updates.

That approach has one weak spot: someone has to keep the table current. The Workday integration removes that chore.

### **How it works**

You connect Workday through the Workday tile in the Integrations panel, choose the data you want and set a sync schedule. Your reference table then picks up hires, departures and reporting-line changes from Workday on each sync.

Two things to know before you start:

- Availability is limited to the Enterprise and Advanced Work Management plans.
- Workday usually identifies a manager by Worker ID, not by name. Your INDEX/MATCH may need one extra lookup to turn the Manager ID into a name.

### **What this unlocks**

- **Automated organizational hierarchy.** Your reference table updates itself, and every sheet that looks it up reflects the change at the next sync.
- **Dynamic project resourcing.** If you bring in Skills, Job Profiles and Time-Off data, resource managers can build capacity sheets that show who has the right skills and who is actually free.
- **More accurate budgeting.** With Bill Rates and Cost Rates synced, project managers can compare labor costs to budget inside their tracking sheets. Treat this data as sensitive and restrict sharing carefully.
- **Smoother onboarding and offboarding.** Hire and Termination Dates can feed a sheet that your automations watch. The sync only brings the data in. A Smartsheet automation or Bridge workflow still has to create the onboarding tasks or start the offboarding checklist. A new hire or departure appears after the next sync, not the moment Workday records it.

**Before you roll it out**

1. Keep the synced sheet as the single source of truth and avoid hand-editing its columns.
2. Test with a small group first, including a manager change and a termination.
3. Decide who can see compensation and termination data before it lands in a sheet.
4. The data is only as good as it is in Workday, so check it once in a while and put safeguards in place.
