Why Your Team Still Has Manual Work Despite Buying Smartsheet

You bought Smartsheet expecting the manual work to shrink, and a year or two later a meaningful amount of it is still there. Not because Smartsheet cannot do the job, but because the platform was rolled out as a place to put data, not as a system designed to move and act on that data.

Buying the platform is not the same as designing the solution

Smartsheet ships with genuinely powerful automation, reporting, and premium apps available. None of that activates itself. If sheets were set up to match how the team already worked on spreadsheets, rather than redesigned around what the platform can actually do, the result is a nicer looking spreadsheet with the same manual habits underneath. The tool changed. The process did not.

The gap between "we have Smartsheet" and "our process runs on Smartsheet"

Teams in the first category tend to still be updating multiple sheets by hand to keep them in sync, manually compiling reports that could be automatically generated, and chasing colleagues for status instead of receiving it automatically. Teams in the second category have configured update requests, alerts, reports, and where appropriate the premium apps, so that the platform is doing the coordination work, not just storing the result of it.

Why this happens so often

Rollouts are frequently run to a deadline, focused on migrating existing spreadsheets and getting people trained on the interface. Redesigning the underlying workflow logic takes more time and a different kind of expertise, and it is easy to defer that step in favour of getting something live. The manual work that was meant to disappear stays, just inside a more expensive tool.

Closing the gap

Closing it does not usually mean re-platforming or buying more licences. It means auditing where manual steps still exist, working out which native features or premium apps were never actually configured to remove them, and building that layer on top of what is already there. In most cases, the platform the team is paying for was already capable of doing this. It just was not asked to.
